What are structure, rules and policies for?

  • Our structure should enable us to act effectively together and be greater than the sum of our parts.
  • Our rules are like a constitution. They outline the fundamental guidelines of how we work, such as our purpose and how we make decisions. Rules usually require a high level of agreement to change.
  • Our policies provide guidelines for specific subjects, such as how our meetings work. They should be consistent with our rules, and are easier to change than rules.

What should I read for the hui?

All documents (original drafts, original submissions, proposed new policies etc) are below for those who want to read them. If you are short on time or attension span, these are our recommended readings:

Can I still ask questions and make submissions?

We expect a second round of proposals, questions and comments to follow this Sunday’s hui.

The hui

  • Purpose: To share ideas about the organisational structure of XRTMA, its rules and its policies. No final decisions will be made at the hui. Any agreements reached on the day will be presented to the wider group for consideration and ratification at a special meeting.
  • Preparation: To prepare for the discussions about structure, rules and policies, it would be helpful to pre-read the existing draft documents and the proposals/feedback submitted by members. These are collated here (link to website):
  • Who: All XRTMA members are welcome to attend (though we understand discussing structure and policy is not everyone’s cup of tea!) Please confirm your attendance by Friday 24th May.
  • When: Sunday 26 May 10.00am – 4.00pm. Please arrive at 9.45 to settle in, get a drink etc, for a 10.00 start.
  • Where: Ground floor, 155 New North Rd, Eden Terrace.
  • Access: Someone will be at the door to let you in until 9.55. If you’re later than that, phone 021 145 4665 for someone to come and open the door.
  • Food and drink: Lunch is provided (vegan and gluten free). Please let us know if you have any other food preferences or restrictions. Tea, coffee and water is provided.
  • What to bring: Snacks. A koha. You may like to bring a print-out of the documents for discussion.

What was the process to get to the hui?

  • March – May: The Structure Sub Working Group pulled together existing decisions into a set of draft rules and policies to reflect current agreements, warts and all (see below).
  • Sun 5 May: Draft rules and policies were released. Members were asked to ask questions, make comments and proposals.
  • Tue 14 12 noon: First round of proposals, questions and comments closed.
  • Wed 15: Propoals, questions and comments were collated and translated into track changes in.
  • Thu 22: Collated proposals, comments and original submissions released (see below).
  • Sun 26: A hui will be held for an initial discussion on the proposals and feedback (see  below).
